Every figure above comes from the numbers you typed. There is no benchmark behind it, no model, and no data from anyone else's company.

    The arithmetic

    Each monthly figure is multiplied by twelve and the results are added. The overlap total adds up only the lines you ticked. Per person divides the annual total by the headcount you entered. That is the whole calculation.

    What it does not do

    It does not estimate a saving, suggest what to cancel, or score the company. It cannot: it knows four numbers about a business it has never seen. Anything beyond multiplication here would be a guess with a currency symbol in front of it.

    Why the overlap tick matters

    The total is rarely the interesting part. The interesting part is how much of it is paying twice for the same capability, which is usually a number nobody in the company has added up, because each purchase was reasonable on its own day.

Then software spend is not your constraint and you can stop thinking about it. That is a useful result and it costs nothing to find out.

The overlap figure is large

Consolidation is worth looking at, but carefully. Two systems doing the same thing sometimes means one department does not trust the other's data, and cancelling a licence does not fix that.

Per person looks high for your industry

Worth asking which of these people actually open which system. Paid-for seats that nobody has logged into in a quarter are the most common finding in this area and the easiest to check.

You could not fill in the list from memory

That is the finding. A company that cannot name what it pays for is usually also a company where two systems hold the same customer under different names.

CALCULATOR.

Is anything I type here sent to TMI?

No. The calculation runs in your browser and nothing leaves the page. There is no form submission behind this tool and no figure reaches TMI unless you choose to tell us.

Why does it not tell me how much I could save?

Because it would be making it up. A saving depends on what each system is actually used for, who depends on it and what breaks if it goes, none of which this page knows. A number presented as a saving on that basis would be a sales tactic rather than a calculation.

Should I include things like phones and internet?

Only if you want the total to mean that. The figure is most useful when it covers software the company chose to buy, because that is the part that accumulates without anyone deciding to let it.

What is a normal number?

TMI will not publish one, because the honest version varies enormously by industry, headcount and how much is custom. Comparing this figure to your own last year is far more useful than comparing it to a benchmark from somebody else's market.
